Arrange for the efficient and orderly admission of individuals who have outpatient appointments or procedures. Ensures that the patient’s information is collected, entered into hospital computer systems accurately, and that all patients are aware of clinic & hospital policies and procedures. Interviews incoming patient or representatives and enters information required for admission into computer. Distributes appropriate information to all ancillary departments. Must maintain a 95% accuracy rate quarterly on all admissions. Also will provide accurate coding of office visits in preparation for billing to insurance companies.
Responsible for pre-registering patients for scheduled admissions for office visits, obtaining personal information or verifying information already on file, including emergency numbers and insurance information and photo ID.
Verify appropriate referral is on file if needed.
ICD_10 Coding for visit and billing appropriate per department.
Responsible for obtaining signature on Conditions of Admission and initiating the Advanced Directive process.
Communicates appropriately and clearly to the supervisor, nursing staff, coworkers and physicians.
Check for cancellation daily through reminder call.
Receive patient payments. Maintains department records, reports, and files as required.
Responsible, when previous arrangements have been made or a co-payment is required, to collect such payments and record payment. If unable to collect what is noted to contact facility billing office.
Schedules return appointments and procedures.
Prepare charts/paperwork/consents for following days patients.
Responsible for knowing hospital policies and being familiar with hospital services that are available.

Responsible for assisting physicians or providers with patient care, clerical and clinical. Convey a positive image of the clinic. Collect, process routine testing, and returning results back to doctor or provider. Provide good customer service on the phone, patients, doctors and other medical staff. Work well under pressure and prioritize. Perform CLIA waived moderate testing. Patient referrals, pulling electronic charts, filing, cleaning/wrapping instruments, stocking rooms, reconcile labs, rooming patients taking vitals and history. Healthy connection referrals/eligibility, prior authorizations, checking patients in/out at the front desk collecting pertinent information. Collecting and processing payments, scanning and discharging, answering phones, posting charges, some coding/billing, medical records, blood draws and giving injections.
Fulfills patient care responsibilities as assigned which may include: checking schedules and organizing patient flow; accompanying patients to exam/procedure room; assisting patients as needed with walking, transfers, collecting specimens, preparing for exam, etc.; collecting patient history; performing screenings per provider guidelines; assisting physician with various procedures; charting; relaying instructions to patients; answering calls and providing pertinent information.
Proficiency in collecting correct blood samples and other body fluids, ensuring proper patient identification and labeling of samples.
Follows hospital policies and procedures for transporting and delivering samples to laboratory. Knowledge of handling laboratory supplies and stocks supplies.
Ensure that patients receive appropriate competent and quality clinical care and that customer service meets patient’s expectation.
Adherence by staff to all policy and procedures.
Provides age appropriate care.
Reporting monitoring and management of patient and staff incidents.
Monitoring and management of patient and physician satisfaction results.
Follows standards precautions using personal protective equipment as required. Knowledge and performance of sterile technique.
Proficient in clerical responsibilities including: sending/receiving patient medical records; obtaining lab/x-ray reports, hospital notes, referral information, etc.; completing forms/requisitions as needed; scheduling appointments; verifying insurance coverage and patient demographics; managing and charting to ensure information completed and filed appropriately.
Performs facility responsibilities as assigned which may include: setting up instruments and equipment according to department protocol; cleaning exam/procedure rooms, instruments and equipment between patient visits to maintain infection control.
Maintains Point of Care documents and performs Quality Control management.
Orients and mentors new staff members. Shows good customer service on phone and in person to anyone that enters the facility.
Performs miscellaneous tasks that promote smooth operations or other duties as deemed necessary or assigned
High School Diploma of GED, Current BLS Certification. Valid driver’s license. Must have AAPC Certification or become certified within 1 year of hire.
: Medical Assistant, Phlebotomy course and/or phlebotomy experience preferred. Admitting Clerk: One to three months related experience and/or training; or equivalent combination of education and experience.
Basic computer and typing skills. Operate vital sign monitoring devices and manual BP equipment. Ability to use hospital information system, Also must be able to operate clinic electronic medical record and operate basic computer functions and software.
The ability to read and communicate effectively in English. Bilingual is a plus. Must understand medical terminology. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, physician orders and procedure manuals. Ability to speak effectively, before groups of customers and or employees of the organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate ratios and percentages and to draw and interpret bar graphs
