The Webster Apartments currently has an exciting opportunity for an experienced GUEST SERVICES ADMINISTRATOR.

The responsibilities of a GUEST SERVICES ADMINISTRATOR include organizing, directing, and coordinating the work of Admissions, Front Desk, and Guest Services staff to maximize revenue and profit while attaining optimal guest satisfaction. The GUEST SERVICES ADMINISTRATOR is also responsible for responding to guests' requests and concerns to ensure guest satisfaction, compliance, and referral business.

Reporting to the EXECUTIVE DIRECTOR, the GUEST SERVICES ADMINISTRATOR must have earned a Bachelor’s degree and requires a minimum of five years of hospitality/customer service experience with a minimum of three years of supervisory experience. This position requires excellent interpersonal, management, communication, and training skills as well as fluency in Microsoft Office (Outlook, Word, Excel) and experience utilizing a database to capture data, create reports and track trends [Salesforce experience a plus].

Responsibilities include:

  • Processing, Reviewing, Screening applications for residences.
  • Managing pre-arrival date changes.
  • Occupancy Management & Reporting.
  • Rooms Inventory Management (rooms assignments and changes).
  • Working closely with MIS Administrator to ensure data quality.
  • Verify guest eligibility post-check in.
  • Respond to all applicant and guest inquiries.
  • Manage relationships with outsource support vendors.
  • Process visitor reservations and guest check out notices.
  • Address all escalated guest issues.
  • Serve as point person for guest emergency management (24/7 on-call).
  • Plan and coordinate all guest events.
  • Working with Marketing Dept on supporting Webster events.
  • Coordinate the semi-annual review and update of the Guest Handbook and all applicant and guest-related documents.
  • Manage applicant/guest database in Salesforce.
  • Shift back up to evening and weekend direct reports.
  • Conduct tours.
  • Answer phones.
