The Office of External Affairs brings together units responsible for influencing public policy and opinion, communicating about the University priorities, challenges and achievements and strengthening the University’s reputation and the perceptions people hold of it. Units include the offices responsible for government and community relations at the federal, state, regional and Spokane/Eastern Washington levels, television production and radio and an executive and administrative staff.
The Vice President oversees six units within the Office of External Affairs, as well as serving on the president’s cabinet and representing the UW on several external boards and committees. Finance and administration staff manage the budgeting, financial, personnel and other administrative functions of the office. A central events and communication staff member organizes outreach and engagement events, assists with hosting elected officials and others on campus and coordinates special projects within External Affairs.
We have an outstanding opportunity for an Administrative Assistant to the Vice President
to provide administrative support to the Vice President at an executive level and general administrative support to the Office of External Affairs.
The Administrative Assistant to the Vice President manages the Vice President's busy calendar of engagements and travel and provides support to internal and external committees staffed by the Vice President.
The Administrative Assistant to the Vice President works both inside and outside the campus to coordinate the Vice President's activities with other departments and organizations maintaining good working relationships between the Vice President's office and both internal and external clients.
Duties and Responsibilities:
Field and screen phone calls, emails, and manage the VP calendar, manage high level internal and external contacts and distribution lists - 25%
Interact regularly with stakeholders, university leadership and elected officials and civic leaders (and their staff members) to schedule meetings, assist with event coordination and answer routine inquiries - 25%
Assist with managing the VP commitment to several internal and external boards and committees and support committees chaired and staffed by the VP, attend staff meetings, provide minutes for staff meetings, and schedule and provide support for department meetings and small-scale events, including ordering refreshments or lunches - 25%
Prepare Vice President's quarterly disclosure reports and establish and maintain various files and records - 5%
Manage procard reconciliation and travel reimbursements, arrange and coordinate travel logistics, including air, hotel an registration for the VP; Manage the conference room and conference room calendar, keeping the room clean and properly set up for regular use; Backup for ordering office supplies - 20%
Bachelors degree in Liberal Arts, Communications, or Business or a similar field plus four to five years of experience in executive level support.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
