Aon is looking for an Executive AssistantAs part of an industry-leading team, you will help empower results for our clients by delivering innovative and effective solutions within our Commercial Risk Solutions team in San Francisco, CA.Your impact as an Executive AssistantThe Executive Assistant will provide both administrative and strategic support to our top producer and market leadership. The Executive Assistant will respond promptly and effectively to changing priorities and new situations. Additionally, the Executive Assistant will possess the skills and ability to communicate effectively and appropriately with internal resources and other parties. The Executive Assistant is integral to the efficient workflow within the office environment.Job Responsibilities:Operating as key support for top Producer and leadership, the EA independently seeks out answers to questions, takes initiative and uses network of resources to solve problems. Must be strategic, proactive, solution oriented and establish procedures that demonstrate process improvements.Manage and support producer emails. Review and identify priorities as well as what can be actioned independently.Manage producer calendar; manage and prioritize meeting requests.Track client renewal dates; proactively reach out to internal teams to ensure they are aware and tracking appropriately toward renewals.Track and manage monthly production reports and true up discrepancies.Act as point of contact between executives and employees/clients.Draft both internal and external communications.Coordinate travel arrangements as well as create itineraries for business trips for top producer and market leaders.Research locations and coordinate client dinners.Schedule and coordinate meetings, conference calls, conventions and other events including reserving meeting space, coordinating speaker agendas as well as arranging appropriate equipment/materials and provides hospitality services as needed for meetings.Prepare and submit expense reports for top producer and market leaders.Prepare and produce high quality client presentations and correspondence, graphic presentations, and other documents. May need to coordinate with the graphics team for client presentations.Prepare special or one-time reports, build and maintain any vital updates to spreadsheets to support reporting analysis.Ensure adequate office supplies, process orders as needed, including IT equipment.Maintains database information, such as mailing lists, vendors, etc. in applicable format.Provide support for team as needed, including preparation of documentation and follow up with client contacts.You bring knowledge and expertiseIt is imperative that the individual is a great teammate and demonstrates flexibility and willingness to complete tasks as the need arises.Required Experience:3-5 years’ experience as an administrative assistant.Strong PC skills including Word, Excel, PowerPoint.Excel in customer service and possess exceptional attention to detail.Strong communication skills – verbal and written.Demonstrates discretion on highly private and confidential matters.Highly organized, with strong multi-tasking skills, strong attention to detail.Education:Bachelor’s degree or equivalent years of industry experience. We offer youA competitive total rewards package, continuing education & training, and tremendous potential with a growing worldwide organization. Our Colleague Experience:From helping clients gain access to capital after natural disasters, to creating access to health care and retirement for millions, Aon colleagues empower results for our clients, communities, and each other every day.
