Job Summary / Purpose


The Human Resources Assistant provides a full range of
administrative support to the Human Resources Director and staff. 


 

Essential Key Job Responsibilities


1.        
Maintains a
system for filing and storing information.
a.      
Maintains a
system for storing department documents including, but not limited to minutes,
agendas, planning documents, forms, informational pieces, budget information,
department meeting minutes, etc. 
Orientates Human Resources to this filing system.
b.     
Maintains current
and past employee files in a manner consistent with state and federal laws and
accrediting guidelines, and takes necessary steps to insure confidentiality.
c.      
Keeps
electronic record of employee licenses and certifications.  Using a data base system, enters
certification and licensure into computer and reports information to managers,
employees and others authorized to access this information.
2.      
Assists department staff by providing routine clerical support to the
Human Resource Department.
a.      
Produces
professional quality documents including but not limited to:  policies and procedures, job descriptions,
application forms, correspondence, minutes, schedules, agendas, brochures,
lists, reports, Power Point presentations, etc.
3.      
Assists with special events and tasks.
a.      
Prepares
service awards for distribution to eligible employees.
b.     
Helps with
special events as assigned.
4.      
Functions as Human Resources contact person for hospital employees and
department managers, maintaining
           confidentiality of sensitive
personnel materials and issues when providing information.
a.      
Serves as
information resource person for employees.
b.     
Provides
copies of materials from employee files, and evaluation materials to managers
as requested and when appropriate.
5.      
Develops and designs forms for Human Resources, taking the initiative
to ensure procedure for forms is followed.
6.      
Assists with New Employee Orientation.
7.      
Assists with the LEARN program.
8.      
Assists with traveler information and keeping track of certifications,
licenses, and reviews.
9.      
Takes lead with Exit Interview tracking of employees.
10.    
Assists in overall responsibility to comply with CMS standards.
11.     
Performs other duties, as assigned.

Required Minimum Experience


In lieu of education:
Minimum of four (4) years of office administrative, supervisory or lead
experience in the area of assignment; or an equivalent combination of
education and experience sufficient to successfully perform the essential
duties of the job as listed above.





Required Minimum Knowledge, Skills and
Abilities


1. 
Must be proficient with Word, Excel, and Outlook.  Graphics and publishing software program
experience helpful.
2. 
Ability to work with people, establish priorities and handle workflow
with frequent interruptions.





PREFERRED Education and/or Experience


Associate or Bachelor degree in Human
Resource Management or Business Management preferred.
