Office Manager

Day Shift (8am-5pm)


Office Manager to handle day-to-day office operations with a focus on efficiency and time management. The Office Manager will be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control and task delegation. We’re looking for an energetic professional who doesn’t mind wearing multiple hats.

Develop organizational procedures and systems for tracking personnel information, filing, billing, accounts payable, payroll and scheduling.

Manage employee files including tracking sick and vacation balance for hourly staff and communicate with corporate payroll team, request vacation and sick paychecks.

Manage hourly staff payroll, daily labor checks to insure staff are clocking in/out correctly, set-up new staff in the time card system, make appropriate payroll adjustments as needed.  Assist with payroll close 2x monthly.

Assist with hiring new hourly staff employees and follow up on open positions.

Work with our SF office to manage a dispatch team to help cover sick and vacation coverage.

Oversee ticket for Maintenance, Shipping & Receiving and Janitorial.  Make sure tickets are closed correctly and in a timely manner, follow-up with clients as needed.

Review ticket trends and assist with putting together weekly, monthly and quarterly reports.

Order Janitorial Supplies and Amenities and maintain an inventory log and par level.  Includes managing our sharps program, making sure we have back-up containers on-site, mailing off full containers etc.

Work with site account manager and assist with scheduling quarterly maintenance on large equipment.

Continue education in management, organization and team-building skills

Assist with managing team atmosphere through leadership and employee development.

Cross train with shipping and receiving to provide back-up support as needed, help cover call outs and provide additional support during the holiday season.

Minimum Requirements

Associate degree required (B.A. or B.S. preferred)

Proficiency in Microsoft Office, Email, client program

Experience with scheduling, hiring and payroll

Supply management experience

Excellent written and verbal communication skills

Comfort with fast-paced environment
