This position is fully in office Monday - Friday.
Specific
Office Administrator responsibilities include, but are not limited to:
General Office Management
Manage day to day oversight of office, improve process and make decisions pertaining to the office
Manage office support staff
Responsible for ordering supplies and other office equipment
Serve as point of contact for general administrative inquiries
Oversee office space planning and seating arrangements
Coordinate hospitality arrangements for client meetings and visitors
Oversee third party vendors, contract approvals and invoice processing
Ensure adherence to safety, health, and emergency procedures
Send office-wide announcements and general communications
Plan interoffice events
Arrange catering for meetings and events
Oversee internal meetings as necessary
Liaise with IT and other interoffice departments as needed
Administrative Management
Assist Office Managing Partner with office operations
Maintain subscription list for legal publications
Assist Senior Office Administrator on regional ad hoc projects and firm initiatives
Timecard approval for staff
Streamline inquires to Human Resources as necessary
Assist Human Resources with screening and hiring of legal staff
Assist with onboarding and offboarding responsibilities
Organize and conduct meetings for administrative staff
Oversee Legal Assistants, coordinate office workflow and support for attorneys
Advise office staff to handle maintenance and repairs with building management
Qualifications
1-3 years of office management/management experience
Prior experience working in a law firm, legal assistant experience advantageous
Exceptional written and verbal communication skills
Ability to manage and prioritize multiple projects
Proficient in Microsoft Excel, Word, and PowerPoint
Ability to interact and liaise confidently with all levels of employees within the Firm
Superior organizational skills with strong attention to detail
Ability to identify issues early, research and present solutions, and resolve efficiently
Maintaining a professional demeanor in high-pressure situations
Ability to work independently with a hands-on approach and minimal supervision
Upholding a strict level of confidentiality regarding sensitive projects and communications
