Performs all administrative functions for the timely and efficient operation of the department.
 Essential Duties:

Develop and maintain department filing system:
a.        Places materials in appropriate file for retrieval as necessary.
b.       Reviews material on a regular basis for elimination from filing.
c.        Makes recommendations for improvements related to the filing process
d.       Assembles client medical record upon admission.
2.        Establish and maintain an inventory of departmental office supplies:
a.        Assures par level of supplies is maintained.
b.       Communicates with staff regarding supply expenditures and par level changes needed.
3.        Process departmental mail.
4.        Ensures all visitors and telephone calls are handled in a courteous manner, according to hospital policy.
a.        Takes accurate phone messages and forwards to appropriate clinician.
b.       Forward emergent phone calls to appropriate clinician.
5.        Produce departmental correspondence and other materials as assigned:
a.        Prepares without error, documents, policies, meeting minutes, letters and memos, etc.
b.        Verifies format with requesting personnel.
c.       Proofreads materials generated for spelling, grammar, punctuation, etc.
d.         Enters statistics to existing spreadsheets as needed.
e.       Process MD orders, ensures timely mailing.
f.       Process patient plan of care and verifies OASIS data, exporting data to the State of Oregon, according to regulation and agency policy.
g.         Prepares weekly patient roster and bimonthly case conference roster.
h.        Verifies MD licensure.
i.         Serves as back up to assign ICD diagnosis codes upon referral, to be verified by clinician.
j.      Admits patients to Home Health/Hospice information systems.
k.       Coordinates meetings, arranges rooms, snacks, and invitations.
l.       Become an expert on the Home Health/Hospice computer systems acts as patient care software administrator for staff.
m.       Helps train others on computer systems.
6.    Ensures staff provides timely and accurate documentation that supports the coding and billing for timely processing of claims.   
       a.      Submits quarterly credit balance reports.
       b.      Exports Hospice item set to Medicare.
       c.      Posts accounts receivable and submits finance reports for month end.

Knowledge, abilities, and skills:     High School graduate or equivalent. Post secretary training preferred. Two years previous secretarial experience in a business setting is required. Experience with personal computers is required. Knowledge of Microsoft Windows applications is preferred. Medical Terminology is required. Experience in medical billing is preferred. Ability to communicate professionally with others by telephone. Ability to perform duties and responsibilities promptly and consistently with little direct supervision in planning and organizing his/her work. Must be computer literate. Must be able to type 45 WPM.  Ability to interact professionally with multiple disciplines.
