Position Description

Position Summary:

This position supports the department in a variety of areas including high-level administrative assistance to the department Director, staff, and possibly the department’s Vice Presidents as needed. Administrative support of other business unit staff maybe assigned by the department’s Director on an as needed basis. All tasks will be required to be completed in a prompt and efficient manner while maintaining a high level of accuracy and confidentiality.

Primary Duties:

Assist the ADC Chairperson (department Director) with ADC meeting

Scheduling of meeting

Tracking Variance and Change requests

Generating the ADC agenda

Taking ADC meeting minutes

Updating online business unit procedures

As ADC Administrator will be required to communicate with applicable stakeholders

Tracking of Annual procedure reviews for all applicable business unit procedures

Tracking and assigning form numbers

Collect and submit online Annual Report data to various Federal and State Regulating agencies

Collect, track, and invoice Regulatory User Fee payments - federal, state, and city

Working with KM Tracking system - OPSInfo

Tracking status of department work orders (IMs)

Collect, submit, track invoices and staff payment reimbursement requests in PAWS

Track and review staff timesheets – HBS, and supplemental excel spreadsheet

Collect and archive e-files and applicable hard copies associated with regulatory correspondence

Collect and submit online/hardcopy Regulatory information /correspondence

Maintaining welder qualification list

Review and coordinates travel requests for department staff

Composes routine and non-routine correspondence

Coordinate hotel and travel reservations for department staff as needed

Schedules appointments, assists with coordination of interviews and arranges meetings

Willing to expand Administrative scope of work as work experience develops

Help develop and maintain written processes for the Administrative position

Performs other duties as assigned

**Position may be filled at various levels depending on experience and job skills of successful candidate.

Position Requirements

Education and Experience Requirements:

At least a High School Diploma

Two (2) year degree in business related discipline preferred

Must have worked in an Administrative role with minimum 2 years of experience

Job Requirements:

Strong computer skills

Must have intermediate to advanced proficiency skills in Microsoft Office products, including Word, Excel, and PowerPoint

Must have intermediate to advanced proficiency skills with Microsoft SharePoint or the willingness and ability to learn this application is a short-order

Must have strong analytical skills and office management skills

Must have the ability to organize and prioritize daily work and maintain strict confidentiality

Must be flexible and have the ability to set priorities and coordinate multiple projects

Must have the ability and willingness to multitask on an ongoing bases

Must be able to communicate and work cooperatively with various levels of internal management and staff, as well as outside clients and vendors to resolve issues while adhering to deadlines

Must have excellent communications skills, written and verbal

May need to demonstrate computer and software proficiency as part of the interview process

The ability to work occasional overtime on demand when project needs necessitate
