Job Summary and Scope

Provide standard and advanced administrative duties for an executive(s) of the hospital. Handle matters of a routine nature to conserve supervisor’s time. Supervise and coordinate activities of secretarial and clerical personal as directed. Ensure policies and procedures are developed, administered and monitored for efficient, effective management of all programs.

Essential Functions:

POLICIES AND PROCEDURES - Maintain established departmental and hospital policies and procedures, objectives, and quality assurance programs for your supervisor and areas of the organization you support.

DEVELOPMENT - Enhance professional growth and development through participation in educational programs, reading current literature, attending in-services, meetings and workshops.

Type correspondence, reports, memoranda, and other materials for staff, business meetings, special projects, technical papers and related material for department staff as required

Collect information needed by supervisor for conferences and reports. Compose letters and memoranda from dictation, verbal direction, or from knowledge of Hospitals policies and procedures

Schedule and coordinate meetings and facilities; may include making travel and lodging arrangements

Receive, handle, and transfer phone calls and messages within the department promptly and courteously

Prepare and submit time for payroll biweekly

Open, sort, review and distribute mail and prepare responses to routine inquiries

Order office supplies and place items in proper storage areas, operate and maintain a variety of office equipment; obtain and maintain office equipment supplies

Organize, process, manage and maintain contracts and a variety of confidential files or information for the areas of the organization you support.

Create spreadsheets, charts, tables and taking minutes utilizing programs like Microsoft Word and Excel for areas as assigned.

Support Committees.

Prepare presentations as needed.

Track costs and budget.

Project planning and tracking.

Complete purchase requisitions.

Perform miscellaneous job-related duties as assigned.

Education/Experience

Education:

High School Diploma or GED

Work Experience:

Four (4) years clerical/secretarial work experience in a professional office environment.

Conditions of Employment

Must pass a pre-employment criminal background check, reference checks and a post offer drug screen.

Must be employment eligible as verified by the U.S. Dept. of Health and Human Services Office of Inspector General (OIG) and the Government Services Administration (GSA).

Tuberculin Skin Test required annually.

Hospital required vaccinations.

Hospital required competencies.

Working Conditions

Typical office and/or patient care, acute care hospital environment.

Must be able to travel locally between facilities and within the surrounding community.

Occasional exposure to minimal physical risk
