Reporting to the Coordinator of Public Records, the Administrative Associate will assist in administering the statutory public records function for the University of Arizona and in responding to public records requests received by the University.

Duties & Responsibilities

The Administrative Associate will help the Public Records Coordinator with all aspects of the public records process.

The primary duties include:

Tracking public records requests

Analyzing requests to determine specific needs of the request

Contacting departments and individuals to obtain information and required documents as necessary in relation to the request

Corresponding with the requestor and department(s) to clearly understand and properly follow up

Gathering and reviewing pertinent records

Producing all responsive documents to all pertinent parties

Other duties as assigned

Knowledge, Skills, & Abilities

Minimum Qualifications

Excellent verbal and written communication skills.

Demonstrated good judgment and the ability to inspire confidence and cooperation.

Ability to exercise discretion and handle highly confidential and sensitive information, while representing the University with tact and diplomacy at all levels.

Excellent office management skills including word processing, content and context editing, composing correspondence, proofreading, and developing and maintaining office filing and docketing system.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

Proficiency in Adobe Acrobat Pro

Ability to prioritize work to meet deadlines and produce high quality work while multi-tasking.

High integrity and a strong attention to detail.

Arizona Board of Regents Minimum Qualifications

Bachelor’s degree in Business or field pertinent to work unit


one year of directly related administrative experience; OR, five years of directly related administrative experience; OR, any equivalent combination of experience, training and/or education.

Preferred Qualifications

Five or more years (5 ) of experience working in a professional office.

Public Records management experience preferred.

Experience in higher education preferred.

Prior working knowledge of public records law and/or freedom of information requests helpful.

Prior legal background and ability to analyze and interpret contractual documentation helpful.
