This position supports the Executive Vice President & Chief Human Resources Officer and is responsible for accomplishing highly diverse, and often complex, administrative tasks. The Associate is expected to collaborate and cooperate with other administrative assistants to effectively support the Human Resources Organization.

The ideal candidate will have a mastery of the executive associate function, including a strong presence internally and externally with high level of professionalism. Performs highly diverse administrative duties, which by nature of the position involve high level contacts and exposure to sensitive information necessitating the considerable use of confidentiality, tact, diplomacy, discretion and judgment. Independently investigates, analyzes and recommends solutions to broad range of business problems. Organize multiple processes, procedures or programs to support business needs. Prioritizes activities and takes action based on an understanding of department objectives, customer needs, and BMS business strategy. Uses time management techniques to effectively manage own priorities and assist senior leaders in managing their activities.

Responsibilities (include, but are not limited to):

· Phone and calendar management as well as timely scheduling ensuring meetings are prioritized and occur within appropriate timelines.

· Maintains and organize office operations and procedures such as fully utilizing one-drive, Sharepoint, filing systems and other technologic solutions, expense reports, and other administration services.

· Prioritizes activities and takes prompt action based on an understanding of departmental objectives and critical business needs.

· Adheres to T&E policies, including booking travel arrangements (domestic & international, ensuring appropriate visas etc) and monthly reconciliation of business expenses, understanding of Sunshine act implications, and BMS internal corporate policies for accurate and compliant reporting of expenses.

· Ensures leader’s preparedness for meetings (e.g., assemble meeting materials, assisting with PowerPoint presentations, preparatory meetings with key stakeholders & pre-reads)

· Independently researches more complex inquiries and responds or escalates inquiry, recommending solutions as appropriate.

· Maintains professional and technical knowledge by remaining current with BMS continuous learning modules.

· Proactively partners with matrix team members such as, as needed, to facilitate necessary projects, tasks or meetings to expedite support for the leader and/or the team

· Creates, edits, and tracks job requisitions as well as assisting with other delegated tasks utilizing Workday. On-boards and off-boards consultants and employees

Position Requirements:

Successful candidate must possess at least 10 years of administrative experience with significant experience supporting an executive.

Bachelor’s degree preferred.

Position requires a highly seasoned professional with experience working with senior level executives

Candidate must be comfortable working and communicating with all levels in the organization and have good working knowledge of company's corporate policies, or, if an external candidate, demonstrate an ability to quickly learn.

Demonstrated experience in project and task management.

Must be comfortable working with new tools and technologies including web-based and digital communications tools.

Highly proficient in Microsoft Office Suite; including but not limited to Outlook Calendar and Email, Skype for Business, SharePoint, Excel, Word and PowerPoint.

In addition, should have experience with the following BMS applications; Concur, Workday, Ariba, eSetup, Audio, Video and Conference Room Scheduling and SAP.

Adapts easily to new learning situations, knows how to set priorities, is very proactive, reliable and accountable, and works with limited supervision.

Demonstrates excellent verbal and written skills for effective communication with senior management and all levels within the organization and externally.

Proven ability to handle sensitive information with confidentiality, discretion and good judgment.

Candidate must have experience acting as lead to group of administrative assistants.

Must possess the ability to take initiative and adapt to frequently changing priorities.

Ability to work and think independently with ability to analyze and solve complex problems with excellent judgment and provide high quality work with attention to detail.

Proactive, solution-oriented approach to collaboration with strong decision-making capability in order to guide assigned project to successful conclusions.

In depth knowledge of company internal systems, policies and procedures, helpful.
