8 Hour, AG0100 Finance Function:

Administrative Job Summary:

The incumbent provides administrative support for the day-to-day activities for the department executive and overall administrative support for the respective department by completing secretarial and/or varied clerical duties. Composes correspondence, prepares reports and makes appointments and travel arrangements. The incumbent may prepare special reports or memorandum for other management. May prepare and distribute minutes of meetings.

Job Responsibilities:

Coordinates schedule and keeps others advised; plans meetings and conferences; creates documents/reports/spreadsheets; and receives and opens mail and email

Reviews and summarizes correspondence and reports, prioritizing and highlighting to facilitate review; independently prepares correspondence for signature

Maintains follow-up system(s) to assure timely response to correspondence, phone calls, etc.

Coordinates complex domestic and international travel arrangements

Prepares and processes expense accounts

Assists other executives and staff to maintain smooth and efficient office environment

Provides various support functions for Crisis Management Team when activated.

Prepares and mails Compensation Committee items as required including agendas, booklets, etc.

Performs other duties as assigned

Internal Controls:

Understands and complies with established departmental processes and procedures designed to support internal controls efforts. 

Identifies and brings to the attention of department management internal controls deficiencies.

Position Scope/Contribution:

This position requires extreme attention to detail, the ability to work with sensitive and confidential information with a high profile job and a professional demeanor.

Successful incumbents will have:

High School or equivalent; post High School education is a plus

Minimum of 5 years of experience supporting executive level leadership

Investment Banking background is a big plus

Proficient with PC including Windows (Word, Power Point, Excel), Outlook, spreadsheet and communications software.

Excellent writing/editing skills. 

Ability to summarize correspondence and reports.

Excellent public communication skills.

Proven ability to work with employees at all levels.

Ability to function in an environment where services are shared by two departments.
