Education/Experience/Knowledge (Level of education, type of experience, & any specific knowledge required for this position.)

High School Graduate/some college preferred

Strong organizational skills and the ability to proactively multitask and balance competing priorities in a dynamic environment

Required excellent verbal and written skills, a positive “can do” attitude, experience in dealing with all levels of internal and external clients, ability to take the initiative and adapt to frequently changing priorities, strong attention to detail, the ability to work and think independently with the ability to analyze and solve complex problems with excellent judgment.

Candidate must possess strong relationship building and interpersonal skills in dealing with top levels of management and demonstrated ability to handle confidential information with discretion. Candidate must be a team player but also able to work with little guidance at times.

Strong computer skills and knowledge of BMS standard applications including, but not limited to, Workday, Microsoft Office, PowerPoint, Visio, OrgPlus, Excel, Concur, and SAP/SRM is necessary.

Demonstrated ability to interact with all levels of management, including executives, matrix team members, and suppliers.

Proficient delivery of clear, concise written and verbal communications.

Strong command of the English language, including spelling, grammar and ability to draft memos and letters.

Ability to follow complicated instructions and clarify directions as needed.

Good listening skills, including a focus on meeting the needs and interests of key stakeholders in a manner that resonates and is understood by the intended audience.

3 years administrative support experience working for multiple managers, departments and/or functional areas preferred.

Major Duties & Responsibilities (Major duties & responsibilities of position. Designate GMP/GLP duties & responsibilities, as applicable.)

Managing multiple calendars

Planning complex meetings, managing and responding to telephone calls on behalf of the Executive Director

Making detailed and/or complex travel arrangements and preparing itineraries (both domestic and international)

Preparing expense reports, compiling meeting materials

Organizing large department-wide events

Hosting team meetings including preparation of meeting agendas and taking, preparing, and distributing meeting minutes

Creating and maintaining organizational charts

Creating purchase orders in Ariba as needed for the department

Processing organizational transactions in Workday

Handling mail/email

Drafting and refining management presentations on PowerPoint and/or Visio

Member of Biologics Development admin team
