The Clinical Administrative Coordinator (AC) is responsible for patient admission and discharge processes, preparing network reports, reviewing and submitting monthly billing, facilitating payroll, orienting new employees, maintaining employee records, and maintaining office supplies and office machines in the center. The AC is responsible for maintaining patient medical records as mandated in the medical records, privacy, and emergency policies.

ACs in WellBound have both clinical and administrative responsibilities. The primary clinical responsibilities include rooming patients, taking vital signs, obtaining and processing laboratory samples in accordance with the scope of practice of their state certification, and ensuring that the rooms are cleaned properly between uses.

Essential Functions

Employees must abide by all Satellite’s standards of patient care, patient’s rights and ethical treatment, and adhere to safety and quality programs.
Administrative Duties
Oversees front office desk/office administration for the center
Oversees admissions for all patients for the center; audits all admissions following admit
Oversees discharges for all patients for the center; audits discharge records and is responsible for document management of records
Oversees maintenance of patient medical records to include auditing of proper completion to ensure information is accurate for the center; scans documents and files in to SPIN Back Office
Prepares and reconciles monthly and quarterly Network, Kaiser and other reports; assists center management with adjusting reports as needed, and ensures timely and accurate completion
Assists the center management with all aspects of onboarding and orienting new hires and transfers into the center
Facilitates the accurate and timely completion of payroll; acts as the liaison with payroll department; trains employees on time management system and payroll policies & procedures
Tracks and maintains employee records; notifies employees of upcoming expiration dates for license/certification expiration dates
Organizes CPR training at the direction of center management
Oversees monthly patient billing and prepares billing reports for the center; ensures accurate and timely completion of billing and acts as the liaison with the Accounts Receivable Department
Schedules and coordinates meetings and appointments; prepares meeting materials; takes minutes at meetings as requested, including active participation in the center’s quality improvement program (QAPI)
Maintains Center Agreements Binder
Manages petty cash; generates check requests
Responsible for driving the Satellite Healthcare culture through values and customer service standards
Accountable for outstanding customer service to all external and internal customers
Develops and maintains effective relationships through effective and timely communication
Takes initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner
ACs who work in WellBound centers or in-center home programs may perform additional clinical duties to include:
Practices good infection control techniques when delivering patient related care and when handling potentially infectious material
Rooms patients, performs vital signs, weighs, and documents
Cleans patient treatment rooms between patient visits per established infection control practices
Stocks patient treatment rooms and lab area daily
Cleans lab area, biohazard room and storage room; cleans and documents on-site lab equipment daily
Performs venipunctures as directed per phlebotomy certification
Processes all lab specimens per specifications set forth by WellBound/Satellite or the laboratory
Prepares lab tubes for scheduled blood work and completes all paperwork
Participates in CPR as required
Orients patients and visitors to center
Orders, receives, inventories and maintains center clinical supplies
Assist nursing staff to obtain required supplies for patients to perform home therapy
Monitors center equipment and reports discrepancies to center management/Technical department
Performs routine calibration checks of the patients’ home centrifuges and coordinates necessary replacements with the lab
Liaisons with the Interdisciplinary Health Care Team on shared responsibilities
Minimum Qualifications
Any combination of education and experience that would likely provide the required knowledge, skills, and abilities as well as possession of any required licenses or certifications is qualifying.
High School Diploma, GED or equivalent required; AA or AS degree preferred

One (1) year administrative experience required; two (2) years preferred
For WellBound centers, current Medical Assistant Certification preferred within six months by taking the CMA (AAMA) Certification exam or credentialed as a Registered Medical Assistant (RMA)
For WellBound centers, Phlebotomy Certification preferred within six months per state regulation, unless functioning in a role that does not require phlebotomy
Note: MAs are
allowed to draw blood without phlebotomy certification
Knowledge, Skills & Abilities:
Intermediate MS Office skills including Outlook, Word, Excel, and PowerPoint
Excellent organizational skills
Problem resolution skills
Demonstrated professional and friendly tone; proper telephone etiquette
Familiarity with regulations regarding medical records and infection control
Demonstrated contribution to harmonious and constructive working relationships with all staff members to promote a positive and productive atmosphere
Demonstrated teamwork approach by offering information, advice, and assistance to all staff members in a positive, courteous, and cooperative manner
Demonstrated communication of information to appropriate team members and documentation in a clear, concise, and accurate manner
Able to maintain patient and employee confidentiality
Ability to read, write, speak, understand, and satisfactorily communicate in English with others in person, over the phone, and electronically
Ability to perform assigned tasks with minimal direction
