Carollo Engineers is a nationally recognized engineering firm specializing in the planning, design, and construction of water and wastewater facilities. We are seeking a part-time Administrative Assistant to join our team in Oklahoma City, OK. The ideal candidate must have a positive attitude and excellent customer service skills.
Essential Duties and Responsibilities
Ordering supplies and inventory; maintain conference room setup/cleanup for meetings and order lunches as needed
Organize lunch and learns; prepare a variety of word processing items, including letters, memos, meeting notes, technical reports, specifications, contracts, etc.
Copying, binding and scanning of individual documents for the engineers; answer phones; maintain the library; maintain cleanliness in the front area
Distribute incoming and outgoing mail and faxes and order postage on postage machine; process incoming and outgoing GSO/UPS shipping
Maintain printers, fax machine, etc. and call for service when needed; set up breakfast, lunch or dinner appointments at restaurants for staff as needed
Filing; car maintenance and logs; send reminder emails to office for items such as timesheets, recycle, etc.; ensure cleanliness in the kitchen area
Maintain sign in/out sheet, conference/car logs, routing slips, blue sheets, etc.; and help out all engineers as needed
Pick up, deliver, and relocate supplies, files, equipment, furniture, etc. for departments, and offsite storage
Assist in filing and paperwork for the construction inspection team
Perform special projects and assignments as directed
Required Skills
Excellent organization skills, verbal and written communications skills
The ability to multi-task, exercise good judgment, be detail-oriented and always maintain professionalism
A working knowledge of a multiple line phone system is also needed
This position includes a significant amount of word processing work to be performed in compliance with company templates and quality standards, therefore proficiency in Windows and MS Office is mandatory
Valid driver's license with clear driving record
Required Experience
High School Diploma
2 years of related administrative assistant experience
Preferred Education and Experience
5 years professional office administration experience
