Basic Function:
The ideal candidate will have a minimum of 2 years of experience in the Trust and Estates Department. Candidate must have a great attitude, will be a team player, have a proactive work ethic, excellent oral and written communication skills, will be proficient in drafting, proof-reading and data entry, ability to work well under pressure, and will be detail oriented. Candidate should be familiar with a broad range of the trust and estates practice.
Essential Duties will Include
Performs secretarial functions associated with firm administrative tasks, including processing new client/matter requests, conflict checks, client bills, and directing workflow;
Provide support to a team of attorneys by updating calendars and scheduling appointments;
• Tracks completion status of documents, manages execution process, compiles and formats documents that require signature;
Handles word processing of drafts, revisions and final documents for client-related matters, including correspondence, timesheets, and project work. This includes proofreading and redlining work for accuracy and formatting work, etc.;
Copies, distributes, sends (electronically and/or via mail, courier or express service), files and otherwise handles completed work;
Handles checks and coordinates bank wires for estate distributions with accounting department;
Coordinates and registers attorneys for CLE and maintains applicable attorney records;
Maintains physical and electronic files;
Coordinates meetings and appointments;
Handles incoming and outgoing mail;
Other duties as assigned
Knowledge/Experience:
Strong knowledge of estate and trust administration and general estate planning concepts is preferred. Ability to work collaboratively and independently, while being proactive in prioritizing multiple projects to meet deadlines. Ability to confidently perform court filings and county recordings. Knowledge of probate statutes and court rules, including ability to research. Must demonstrate a high degree of confidentiality, maintaining client confidences and protecting operations by safeguarding private information.
Skills
Advanced word processing/computer skills utilizing a variety of software programs including, but not limited to, MS Word, Excel, Outlook and PowerPoint, Adobe and Mimecast. Must possess excellent written and oral communication skills, including grammar, spelling and punctuation, attention to detail and follow-through skills. Should also be highly organized and able to successfully multi-task and meet set deadlines. Strong customer service, ability to be flexible and work effectively as part of a team is required.
