Job Summary
_FLSA Status: Nonexempt
Performs diversified administrative duties such as typing, filing, copying, and interfacing with appropriate staff
and the public. Provides assistance in the day-to-day administration of designated area.
Qualifications
EDUCATION: High school graduation or equivalent; secretarial and business courses preferred.
EXPERIENCE: 3 years clerical/office experience.
LICENSE/CERT/REG: No special certification, registration or license required.
SKILLS: Working knowledge of Microsoft Office software applications. Verbal and written communication
skills.
Primary Duties and Responsibilities
Answers telephone, screens and routes calls, takes messages, and provides information according to
department procedure.
Assists with tuition reimbursement processing.
Contributes to the achievement of established department goals and objectives and adheres to department
policies, procedures, quality standards and safety standards. Complies with governmental and accreditation
regulations.
Maintains accurate filing system to ensure timely retrieval of information. Files information on a daily basis;
purges old files.
Opens and routes incoming mail. Distributes correspondence and other materials to department staff.
Orders and maintains inventory of supplies and assists in the care and maintenance of equipment.
Participates in multidisciplinary quality and service improvement teams as appropriate. Participates in
meetings, serves on committees and represents the department and hospital/facility in community outreach
efforts as appropriate.
Performs other duties as assigned.
Performs routine administrative support.
Processes departmental payroll and maintains associated record keeping.
Produce departmental correspondence including memos policies, etc.
Provides data entry support as needed.
Schedules and coordinates meetings and facilities including travel and lodging arrangements. Organizes
meetings including distributing materials, scheduling rooms and arranging for refreshments.
Physical Requirements
NO PATIENT CARE/CONTACT: Visual Acuity. Manual dexterity. Light physical effort: Physical mobility with
ability to lift, push or pull up to and including 15 lbs. Walking, standing, sitting for prolonged periods. Ability to
hear and orally communicate. Ability to read, comprehend and write the English language.
Working Conditions
ATTENDANCE: Regular job attendance is an essential job function.
NO PATIENT CARE/CONTACT: Mostly sedentary work in office type setting. Use of office equipment on a
regular basis including computers, phones, etc. Potential for incidental exposure to patients, visitors and
family members with a variety of physical and psychiatric/mental health conditions. Position may require
flexible scheduling, off-shifts, weekend, holiday, on-call and/or overtime hours of work in accordance with
department policy or procedures.
