Global Support Services, LLC (GSS) is seeking an Administrative Specialist II at Aberdeen Proving Ground, MD. This position will interact with a wide range of program staff, DoD and military personnel. In addition, the Administrative Specialist II will have front line contacts with internal and external customers requiring active problem solving and exceptional communication and interpersonal skills.
ESSENTIAL DUTIES & RESPONSIBILITIES:
MUST HAVE A SECRET CLEARANCE
Types various technical and nontechnical materials in draft and final form (e.g., personnel, training, and travel documents) using computer software (e.g., Microsoft Office Suite).
Prepares briefing charts and other technical documentation.
Processes documentation and maintains office databases for timekeeping, travel, training, budget, property turn-ins, and requisition ordering.
Maintains property inventory by reviewing equipment print out; making changes as needed.
Processes paperwork for office equipment turn-ins.
Maintains information, documentation, and correspondence control using electronic database software.
Ensures records are prepared, maintained, filed, transferred, and disposed of according to the ARIMS.
Receives, disburses, and destroys classified documents according to AR 380-5.
Maintains office calendar, schedules meetings or conferences, arranges for meeting rooms, coordinates Video Teleconference Conference requirements.
Performs data entry of automated databases to maintain information such as office phone numbers, locations, and addresses (e.g., Employee Information System (EIS).
Operates computer equipment using software (e.g., Microsoft Office software).
Operates telephone (to include answering phone and taking messages) refers calls and visitors to appropriate staff.
Operates copy machine.
Operates facsimile machine.

Job Requirements :
Required:
A minimum of two (2) years' experience in a general office practice.
Computer related experience to include proficiency with Microsoft (MS) MS Word, MS Excel, and MS Outlook.
Observance of a level of personal hygiene/appearance that meets generally accepted business standards and expectations.
Must possess a valid driver’s license.
Must have Secret Clearance.
Knowledge, Skills and Abilities:
Experience showing good communication, interpersonal, motivational, and organizational skills.
Must be task oriented, self motivated and have the ability to multi-task, work under pressure, meet deadlines and work as team member as well as a team lead.
Strong attention to detail and follow-through skills. The ability to be at work consistently and predictably.
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology
Sufficient language skills to read and comprehend simple instructions, short correspondence, and memos, write simple correspondence, and effectively present information in one-on-one and small group situations to customers, clients, and other employees.
