Responsible for the front desk duties in the corporate headquarters.
Qualifications
EDUCATION: High school graduation or equivalent; Associate's degree preferred.
EXPERIENCE: 2 years executive or corporate office receptionist experience.
LICENSE/CERT/REG: No special certification, registration or license required.
SKILLS: Ability to operate a PC-based telephone system and standard office equipment. Working knowledge
of Microsoft Word software application. Ability to take direction. Excellent handwriting or printing ability.
Excellent verbal and written communication skills.
Primary Duties and Responsibilities
Answers all calls to the main number within three rings, identify & connect to the appropriate person, taking
clear, concise messages when necessary. Greet and assist visitors in a professional manner.
Assists lead receptionist in training administrative assistants on the switchboard, maintaining a relief
schedule, coordinating coverage and notifying the appropriate person when assistance is needed.
Assists management and administrative assistants as required. Provides assistance to the CEO's office or
office manager for approximately one hour each day.
Calls in all requests for service to courier service and maintain a log of these calls, indicating sender and
delivery information, following up to ensure a timely pickup.
Contributes to the achievement of established department goals and objectives and adheres to department
policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation
regulations.
Maintains an updated telephone directory for internal distribution as well as on the phone system. Maintains a
daily log of personnel on site, vacation, sick, etc.
Maintains kitchen and basic office supplies at the established levels. Assists with coffee preparation by
starting machine at the beginning of the day, cleaning and setting up at the end of the day, and monitoring
machine throughout the day. Maintains disposable supplies in kitchen as well as conference rooms A and B.
Performs other duties as assigned.
Places all equipment service calls, maintaining a log of such calls identifying location and nature of problem
and ensuring service is completed in a timely fashion.
Receive, sort and distribute incoming mail; prepare and drop off all outgoing US and express mail. Delivers
express mail, hand deliveries and faxes received at the front desk in a timely manner or notify the appropriate
office that the item is at the front desk.
Report building related problems such as lights out, heating, etc., to the building office; logging such reports
and following up to ensure these problems are addressed.
Physical Requirements
NO PATIENT CARE/CONTACT: Visual Acuity. Manual dexterity. Light physical effort: Physical mobility with
ability to lift, push or pull up to and including 15 lbs. Walking, standing, sitting for prolonged periods. Ability to
hear and orally communicate. Ability to read, comprehend and write the English language.
Working Conditions
*May be required to travel to various locations as needed. Reliable transportation may be required.
ATTENDANCE: Regular job attendance is an essential job function.
NO PATIENT CARE/CONTACT: Mostly sedentary work in office type setting. Use of office equipment on a
regular basis including computers, phones, etc. Potential for incidental exposure to patients, visitors and
family members with a variety of physical and psychiatric/mental health conditions. Position may require
flexible scheduling, off-shifts, weekend, holiday, on-call and/or overtime hours of work in accordance with
department policy or procedures.
